This guide will help you understand and navigate the PM Suite.

The Suite operates on three levels:

1. The Hub
2. The Project Portals
3. Project Documents

The three layers are connected with common databases (the projects, meetings, tasks) which help you manage your projects on a daily basis AND manage your entire portfolio, whether you work on your own, or with a team.

Start with the video on the left to get an overview of how it all works together and what you will find in the Project Management Suite.

1. Introduction to the Project Master Hub

The Project Master Hub is the central dashboard where you manage all your active projects, backlog, and meetings. Whether you’re handling multiple large projects or managing smaller tasks, this dashboard gives you an at-a-glance view of everything happening across your portfolio.

Key Features:

• View all active projects, tasks, and meetings in one place.
• Quick actions to create new projects, log meetings, or add tasks.
• Easily navigate between projects with detailed project cards.
• Pilot projects with the analytics section

2. Main Navigation (Left Panel)

On the left side of the dashboard, you’ll find the Main Navigation area, designed to help you quickly access important sections of your workspace. Here’s what each section contains:

• Quick Actions: Buttons to add new projects, ideas to the backlog, or start a new meeting.
• Navigation Links: Direct access to databases for tasks, projects, and meetings.
• Key Figures: An overview of your portfolio metrics, such as the number of active projects.

This panel ensures you can quickly go to the right area, or perform an action without the need to switch between pages.

3. Project Cards and Active Projects

On the right-hand side, you’ll see the Project Cards, which are portals to your active projects. Each card gives you direct access to all the details about an individual project, including tasks, documents, and meetings.

Key Features:

• Active Projects View: Shows all projects currently in progress.
• Custom Stages: Projects are categorized by stages (e.g., planning, execution, closure) based on the Project Management Institute methodology. You can customize these stages to fit your workflow.
• Timeline View: Allows you to see the deadlines for each project and track project stages visually.

By clicking on a project card, you open a detailed project portal, giving you full access to project-specific documentation and analytics.

4. Task Management and Meetings

Within the Project Master Hub, you can manage both tasks and meetings from centralized views.

• Tasks: View tasks by priority, project, or due date. For example, you can see top-priority tasks, tasks due this week, or tasks that are overdue. The view “My Top Priority” is auto-filtered based on the user viewing the workspace, so you only see relevant items.
• Meetings: Access a log of upcoming meetings, past meeting notes, and easily open each one of the related meeting notes. Meetings are linked to projects and can be created quickly using predefined templates to save time on setup.

5. Analytics and Reporting

At the bottom of your dashboard is the Analytics & Reporting section, which gives you high-level insights into your project progress and workload distribution.

ℹ️ Analytics are a paid module in Notion. If you don't have the module, you will be able to see one of the Analytics graphs. If you do not need the Analytics module, you can continue using the Suite without it.

• Progress Tracking: Each project is monitored based on task completion, shown as a percentage. The more tasks completed, the closer the project is to finishing.
• Active Projects by Priority: A breakdown of all active projects, sorted by their priority level.
• Budget Tracking: Monitor the budget for active projects and track expenses throughout the project lifecycle.

These visualizations help you assess the status of your projects at a glance, so you can make informed decisions faster.

6. Customizing Your Dashboard

One of the best parts of the Project Management Suite is its flexibility. You can modify the dashboard to fit your personal preferences or your team’s workflow.

Some Customization Options:

• Rearrange Sections: You can move elements like project cards, analytics, or quick actions to better suit your style.
• Add New Views: Create new filtered views for tasks, projects, or meetings based on the data most relevant to you.
• Modify Templates: Adapt templates for projects or meetings by removing or adding sections that fit your processes.
